Tier 2 to ILR - holidays quota and when to apply

Hi there,
2 quick question for my visa from Tier 2 to ILR. The home office website states that the absences from the UK should fall in line with the annual leaves granted and in my case it's 28. The problem is with one of the years where my total absences (outside of the UK) are 35 and that’s mainly because my employer sent me on 2 weeks fully paid trip to Australia. And the days spent in Australia were not a part of my annual holidays' quota. Now, If I get the letter from employer mentioning the dates and reason, would that be enough as a proof? If yes then it will bring down my absences to 25 which will resolve the issue.
Another question is with regards to ‘when to apply’ confusion. The applicant complete 5 years on the basis of visa approval date or arrival in the UK? I came into the UK after 20 working days from the day I got the visa stamped.
