UKBA Letter for Missing Documents (please answer ASAP)

Hi,

I have received a letter from UKBA on 19 Dec 13 regarding my Tier 4 Dependent visa application which I had submitted with my husband at the same time on 11 Dec 13 saying that they have not received my passports and 2 photographs yet; Despite the fact that all the required documents were sent to them via my husband's university which we have a receipt from.

The problem is that the UKBA gave us a deadline until 3 Jan 14 to send the documents and the University is closed so we cannot talk to the person in charge of sending our documents. Do you think the passports are lost or there is a mistake? What can we do now? We have sent 5 passports (3 for me and 2 for my husband).

The admin department could be open, you better check. If not, then write a letter and send it to the address provided and explain to them the situation. If possible, also provide the website link where it is stated that the offices are closed (only if available). Don't forget to send the letter through recorded delivery.

Thank you so much for your reply. Could you please tell me that what can be the possible cause for this letter? Is it possible that there was a mistake?

What does this part of the letter mean?

"If you have submitted all the documents already, please disregard this letter"

Does this mean that the letter was automatically generated and should not be taken seriously?

In the letter, you can put something like " I have already submitted all the documents including passports through University ..... " make sure you provide them the previous tracking number if you have one.

It could be a generic automated letter but nevertheless you should not take any chances & send them a letter confirming that you posted everything including passports. You could later on rely on this letter in court should your application is refused or sent back as invalid.
