UNTRACEABLE DOCUMENTS NOTIFICATION

Post by babaty2k02 » Thu Feb 16, 2017 10:39 am

I received a letter from HO on the subject above, which is quite unusual (My application was posted 1st week in October 2016)...
........"regretably, we've bn unable to locate your supporting documents. Any claim for ex-gratia payment that u may wish to make to HO for this loss must be in writing, enclosing relevant expense receipts  etc... Thank you for your attention and please accept our apologies for any inconvenience caused"

The letter if from the Fast Tract Document Return Team.

Please kindly advise.

Sorry to hear this. Very unusual thing... how about your application, has it been decided or they asking you to send another round of the lost ones???

No, no news on the application and no request to send any documents, yet (hopefully not)

Well, it sounds that that's their fault anyway [assuming they have lost them].

Still better to communicate with UKVI precisely what are lost and whether you needed to supply them or not..... keeping the ex-gratia compensation process aside, which you can carry along afterthat.

No. Passports and BRP's (main applicant + dependants) confirmed intact. Only confirmed loss of all supporting documents. And also no decision had been made yet on the application. I just called to confirm that.

Well did you ask to explain how they want to proceed? Were they 99% decision made, notes on the IT system and they have enough to make a decision? Or have they barely looked at the evidence ? ANyway important you call again and ask for their procedure (if they want you to resend everything you need to know now to fight that)

Quite strange and do you also have the copies (scanned or photocopy )of the documents which you sent to HO as a proof? you can provide that if they ask later on

This is facing crazy you must file for compensation for documents as well as financial loss and stress because of delay in decision as a result of this

Well some documents I could get like the 3 years Accounts sent, but the Accountant will surely charge for that. But some documents could not be produced again like copy of employee document who have left the company, as the copy sent to the HO was the copy kept in the office file. Also the DL Agreement, signed in 2013 is the only original copy

So, hopefully they will make a decision soonest.

....An Update:

Received another signed for letter from HO yesterday, confirming they have notified me as per the untraceable/lost documents. And the letter says:
.."You may resubmit the supporting documents which you originally supplied with your applications. You should supply the documents within 14 days and send them directly to the case working team using the green label provided. We apologise for the inconvenience this has caused"

Well, what choice do I have. I have used 6 months to carefully collate, file and tagged all the documents that was lost in their office, and now I am being asked to produce same within 14 days!!! :x :x
There are some documents which I didn't even have a copy :? .....and now the banks are being funny too as they're saying they can't print statements that is more than 3 months back, that they need to order it, and that is £5 per page of statements ordered

Remember your goal is to get a visa not fight a bureaucracy for justice. Just get last 3 months bank statments (if they fit the criteria e.g. you did not use the maintenance funds etc" and explain in cover letter

Well, getting a bit tricky in getting some copy documents to resubmit, especially the main document.

I had 1 FT employee with about 15 months (at least 120 hrs/month). She is no more in our employment. unfortunately I can't find a copy of her National Identity, to resubmit
I have other 3 PT employees with 18 months (at least 15hrs/wk), 18 months (15hrs/wk) and 19 months (15hrs/wk) respectively. All PT documents intact.

Kindly advise please. Thanks

Then you will not get points for her job. As an employer, you must keep details of your employees

Thank you for the input. I'm actually not looking t the FT employee at the moment as if I couldn't locate the settlement document, i'll easily exclude her from the points expected (and especially when this doc had been submitted but lost), I am more particular about the part time employee's hours worked cumulatively, if those could still worked out to equivalent of 2 FT by 12 months
